Responsibilities:
The ideal candidate will be experienced in handling a wide range of administrative and client related tasks. He/she will be able to work independently with little supervision.  This person must be exceedingly well organized, flexible, and highly detail-oriented and enjoy the administrative challenges of supporting a sales center of diverse people and programs.  The ability to interact with staff in a fast-paced environment, sometimes under pressure, remaining positive, flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality are crucial to this role.  Excellent written and verbal communication skills, decision making ability and attention to detail are equally important.  Manage calendars, travel schedules, expenses and other arrangements for, but not limited to, the VP of Sales & VP of Operations.  May support other departments as required.  Answer phone and direct all incoming calls to appropriate party promptly and efficiently.  Assist with preparation of presentation materials utilizing Power Point, RFP’s and sales presentations.  Serves as primary liaison with other locations/remote employees.  Organize and coordinate sales center events and acts as the point person with building management for the site.  Coordinate office support services including purchasing office supplies, facility management, equipment maintenance, inventory and coffee supplies.  Perform administrative tasks such as scanning, copying, faxing, and preparing documents.  Prioritize and manage multiple projects simultaneously.  Assist with special projects as needed.  Perform related job duties as required.
 
Requirements:
  • Proficient in MS Office, including Word, Excel, PowerPoint
  • 5+ years executive administrative experience
  • BA/BS preferred
  • Excellent verbal and written communication skills
  • Schedule flexibility to meet deadlines when required
  • High level of professionalism and confidentiality
  • Strong decision making ability and attention to detail
  • Ability to interact with staff in a fast paced environment
  • Strong organizational skills
  • Must be proactive, resourceful and self-motivated
  • Ability to handle confidential information with tact and discretion
